General Terms and Conditions for Events
These terms and conditions apply to the provision of conference and banquet rooms of the Paulinenhaus Krankenanstalt e.V. for the organization of events as well as to all other services and deliveries in connection therewith.
- the reservation of rooms and areas as well as the agreement of other deliveries and services shall become binding for the Conference Center and for the organizer upon written confirmation by the Conference Center. The provision of rooms, showcases or areas shall constitute a rental relationship. Any subletting or re-letting of rooms, showcases or areas requires the written consent of Paulinenhaus Krankenanstalt e.V..
- the invoices of the conference center are payable 14 days from the invoice date without deduction.
- the organizer must inform the Paulinenhaus Krankenanstalt e.V. of the final number of participants at least four working days before the date of the event in order to ensure careful preparation. Downward deviations in the number of participants from the final number notified will be taken into account up to a maximum of 5% and used as a basis for invoicing; downward deviations in excess of this cannot be taken into account and will be charged to the organizer. In the event of upward deviations in the number of participants, the actual number of participants shall be taken as the basis for invoicing.
- if an event cannot be held for reasons for which Paulinenhaus Krankenanstalt e.V. is not responsible, Paulinenhaus Krankenanstalt e.V. shall retain the right to payment of the rent: depending on when the event is canceled and what additional services were planned, Paulinenhaus Krankenanstalt e.V. shall also be entitled to reasonable compensation. The amount of the rent and the remuneration are set out in the order confirmation from Paulinenhaus Krankenanstalt e.V.. Cancellations on the part of the organizer must be made in writing.
- the organizer shall be liable for loss or damage caused by its employees, other auxiliary staff and event participants, as well as for loss or damage caused by the organizer itself. It is the responsibility of the organizer to take out the appropriate insurance for this. The Paulinenhaus Krankenanstalt e.V. may request proof of such insurance. In order to prevent damage to the walls, the installation of decorative material or other objects must be agreed with Paulinenhaus Krankenanstalt e.V. in advance. The customer shall guarantee that decoration material in particular complies with the requirements of the fire department police; in case of doubt, Paulinenhaus Krankenanstalt e.V. may request the presentation of a confirmation from the responsible fire protection authority.
- insofar as the Paulinenhaus Krankenanstalt e.V. procures technical or other equipment from third parties for the organizer, it shall act on behalf of and for the account of the organizer: the organizer shall be liable for the careful handling and proper return of this equipment and shall indemnify the Paulinenhaus Krankenanstalt e.V. against all claims of third parties arising from the provision of this equipment.
- newspaper advertisements containing invitations to job interviews or sales events or references to other events require the prior written consent of Paulinenhaus Krankenanstalt e.V.. If a publication is made without consent and the essential interests of the Paulinenhaus Krankenanstalt e.V. are impaired as a result, the Paulinenhaus Krankenanstalt e.V. shall have the right to cancel the event (payment of rent and remuneration) accordingly.
- if Paulinenhaus Krankenanstalt e.V. has reasonable grounds to believe that the event threatens to jeopardize the smooth running of the business, the security or the reputation of the hospital, or in the event of force majeure, it may cancel the event.
- if the organizer is a merchant, the place of performance and jurisdiction shall be the registered office of Paulinenhaus Krankenanstalt e.V.. Should a provision of the General Terms and Conditions be invalid, this shall not affect the validity of the other provisions. The invalid provision shall be replaced by a valid provision that comes as close as possible to it. Deviating agreements or ancillary agreements must be set out in writing. This applies in particular to the waiver of this formal requirement.
- The General Terms and Conditions and the contracts concluded on their basis are subject to German law.
- the conference center reserves the right to make room changes insofar as this is reasonable for the organizer, taking into account the interests of the conference center.
